The role
An opportunity has arisen for an experienced Executive Assistant to join GPT on a 12-month fixed-term contract and provide comprehensive support to our General Counsel and Company Secretary, with additional support to the rest of the Legal, Governance, Risk & Compliance (LGRC) team. This is a crucial role working in a fast-paced and dynamic environment where you will be supporting members of a high-performing team with your exceptional organisational, administrative and communication skills.

Your attention to detail, adaptability, proactiveness and ability to work collaboratively will lend itself to ensuring the smooth running of the Legal, Governance, Risk & Compliance (LGRC) team.
What you will be doing
- Providing high-level administrative support to the General Counsel and Company Secretary through managing day-to-day schedules, prioritising activities, and ensuring the executive’s time is effectively leveraged.
- Coordinating, scheduling, and managing complex calendars, ensuring seamless planning for internal and external meetings, conferences, and travel logistics for the General Counsel and Company Secretary and LGRC team.
- Supporting the LGRC team with the continuous improvement of administrative processes to enhance efficiency whilst maintaining accurate records and filing systems in SharePoint, handling confidential information with utmost care. Creating and formatting of high-quality presentations, papers, reports, letters, agendas and minutes in line with GPT style guidelines.
- Processing purchase orders (via iBuy), new suppliers (through Felix) and Capex requests via GPT’s procurement and accounts payable system. Managing the inhouse legal service invoicing process and maintaining accurate expense records, retaining receipts and ensuring statements are processed correctly, efficiently and on time each month through iCMS.
- Being the primary point of contact between the LGRC team, internal teams, and external stakeholders, maintaining a high level of professionalism and discretion.
- Building effective relationships across the wider EA / PA community to facilitate smooth operations and ensure effective communication across the LGRC division.
What makes you stand out
To be successful in this role, you will have proven experience as an Executive Assistant supporting C-suite or senior leadership within a corporate environment, ideally at an ASX listed company within legal, funds management, property or a similar industry.
You will be a natural communicator, administrator, and problem solver with the well-honed ability to juggle multiple competing priorities whilst working collaboratively across a large team, confidentially and with discretion. You have a proactive style of working, exceptional attention to detail, a knack for using software applications, strong organisational skills, ability to adapt quickly to changed needs and love embedding continuous improvement initiatives in your work.
