The role

 

We  are looking for a Retail Administration Assistant join the team at Karrinyup and assist the Centre General Manager and Retail Team with administration of the retail lease requirements for the Shopping Centre.

 

The Retail Administration Assistant is responsible for coordinating tasks and providing effective support for the Asset Leadership Team.

 

What you will be doing

 

  • Assisting in the quarterly preparation of Gross Occupancy Cost (GOC) abatement calculations by entering data related to rent, outgoings, and audited sales.
  • Liaising with retailers to seek agreement to calculations and subsequent reconciliations.
  • Assisting with managing accruals and forecasts for abatements.
  • Working closely with the Centre management team to create positive experiences for our customers every day - through meticulous entry of operational tasks into systems; maintaining a daily log and conducting a weekly full site inspection walk.
  • Assisting with retailer onboarding documentation and onboarding of new merchants into Karrinyup.
  • Acting as the key administrator for Centre SharePoint files, ensuring the folder structure in SharePoint is well-organized and maintained and offering support to team members as required.
  • Performing general administration tasks as delegated by the Centre General Manager and Centre Manager.
  • Participating in Centre Risk Management activities as required.
  • Collating Monthly Retailer Communications (for the Newsletter).
  • Supporting retailer events including briefing sessions, emergency training, town halls by coordinating bookings, catering, and drafting agendas.

 

What makes you stand out

 

Your prior experience in a Coordination or Lease Administration role, within a commercial or Retail environment would be highly regarded combined with well-honed problem solving skills and a high level of initiative. 

 

Your excellent attention to detail, coupled with an ability to manage multiple projects and tasks and to build effective working relationships will help you succeed in this role. 

 

You will also need exceptional communication skills and have strong skills across the MS Office suite Adobe Acrobat and exposure to other software such as  Anaplan and Salesforce would be an advantage.
