The role

 

As the Property Operations Assistant, you will play a key role in supporting the day-to-day operational and business activities across a portfolio of properties managed by our Logistics Asset Management team. This dynamic position provides exposure to both operational and property management functions, offering a broad and engaging scope of responsibilities.

You will act as a central liaison between tenants, contractors, and internal stakeholders, while assisting with lease administration, building operations, document preparation, and general office coordination. The role also involves managing invoices and budgets, maintaining accurate records in SharePoint, and ensuring the smooth flow of administrative processes.

We are seeking a highly organised, self-motivated individual with strong attention to detail and the ability to manage multiple priorities simultaneously. The successful candidate will be adaptable, proactive, and comfortable working both independently and collaboratively within a fast-paced environment.

 

What you will be doing

 

The principal tasks of the role include, but are not limited to:

 

  • Coordinating customer and contractor meetings and manage tenant enquiries during team absences.
  • Raising purchase orders, process and follow up invoices in iBuy, and support financial forecasting by entering data into Anaplan.
  • Assisting in maintaining strong tenant relationships and support delivery of tenant communications such as building updates, warden training and crisis management.
  • Providing documentation and log-sheet support for site emergency response activities.
  • Collating valuation documents and support logistics lease administration to ensure accurate, up-to-date business information.
  • Maintaining organised filing systems and ensure SharePoint folders follow proper document control and contain current operational information.
  • Preparing high-quality presentations, reports, letters, agendas and minutes in line with GPT style guidelines.
  • Coordinating mail-outs, couriers and other ad hoc tasks or projects to a high standard within required timeframes.

You bring excellent attention to detail, strong organisational skills and the ability to work to strict deadlines. You can confidently manage multiple stakeholders, projects and tasks while building effective relationships across the business. With strong written and verbal communication skills, you are able to prepare clear presentations and correspondence. You are proficient in Microsoft Office applications, including Word, Excel, PowerPoint and Outlook. While tertiary qualifications or experience in property management are advantageous, they are not essential—you are driven, capable and ready to excel in the role.
