The role

 

 An exciting opportunity has arisen for an experienced Executive Board Coordinator to join our Governance team.

 

In this role, you will provide high-quality support to the Company Secretaries, GPT Group Board, GPT Funds Management Board, subsidiary boards and Board Committees, as well as executive support to the Chairman and Directors.

 

You will work closely with the Legal, Risk, Compliance and Governance team and collaborate across the broader business to ensure the smooth and effective delivery of governance and board processes.

 

What you will be doing 

 

  • Coordinating Board and Committee meetings end-to-end, including agendas, papers, minutes, action tracking and forward planning calendars
  • Supporting Company Secretaries during Board and Committee meetings and ensuring all governance processes are executed accurately and efficiently
  • Preparing draft agendas, administrative papers, circular resolutions and maintaining corporate registers and governance records
  • Providing Executive Assistant support to the Chairman and Directors, including diary, travel and expense management
  • Managing Director onboarding and induction processes, including Non-Executive Directors
  • Coordinating Board events, including dinners, asset tours and securityholder meetings
  • Maintaining Diligent Entities and ensuring accurate and up-to-date company records, including ASIC filings
  • Supporting statutory reporting processes and annual review requirements
  • Assisting with share registry administration and fund-related governance activities
  • Supporting compliance activities including attestation processes and audit documentation
  • Managing governance intranet and SharePoint sites to ensure accessibility and effective document management
  • Driving continuous improvement initiatives across systems, processes and governance practices

 

 What makes you stand out 

 

  • Ideally you will have experience in Board or governance administrative role/s, ideally within an ASX-listed environment
  • Experience supporting Company Secretariats, Boards or Committees
  • Strong working knowledge of Diligent Boards/Entities (or similar systems) and ASIC reporting requirements
  • Exceptional organisational skills with the ability to manage multiple priorities and deadlines
  • High attention to detail and ability to work with accuracy in a fast-paced environment
  • Strong communication and stakeholder management skills
  • Demonstrated ability to handle confidential information with discretion and professionalism
  • A proactive mindset with a willingness to ‘roll up your sleeves’ and contribute across the team
