The role

 

The Lease Administration Manager plays a key role in ensuring the accurate and timely management of lease data across the portfolio. This includes overseeing rent roll, lease agreements, tenant information, and all associated charges—ensuring records are maintained to a high standard within the lease management and billing system.

 

In this role, you will proactively manage critical lease milestones such as expiries, renewals, and market rent reviews, helping to support effective asset performance. You will also contribute to budgeting and forecasting processes through accurate data input and system support.

 

Working closely with on-site Office Property Management teams and reporting to the Team Leader, Lease Administration, this position is integral to delivering operational excellence and supporting informed decision-making across the business.

 

What you will be doing

 

Key Responsibilities:

 

  • Manage accounts payable enquiries, follow up debtors in line with GPT policies, and raise purchase orders across operational, management, and capital expenditure.
  • Support budgeting and forecasting processes through data input in Anaplan, working closely with the Commercial Manager, Operations Manager, and General Manager.

 

 

  • Maintain accurate lease records in SAP RE-FX (via Salesforce) and oversee end-to-end lease administration, including document management, execution, filing, correspondence, and compliance with GPT policies.
  • Coordinate lease processes with internal stakeholders to ensure all required documentation (e.g. executed leases, bank guarantees, insurance, fit-out completion) is in place prior to tenant occupancy.
  • Manage annual outgoings processes, including budget issuance, rent roll updates, audited statements, and tenant communications, ensuring alignment with lease terms and key deadlines.
  • Prepare and maintain monthly and quarterly reporting, support reconciliations across systems (SAP RE-FX, Salesforce, Anaplan), and assist with asset reporting, valuations, and audits.

 

What makes you stand out

 

We are seeking a detail-oriented professional with at least three years’ experience in lease administration, finance, or a similar administrative role. Tertiary qualifications in Business or Commerce are desirable but not essential. The ideal candidate will demonstrate strong communication skills, both written and verbal, with the ability to build effective relationships across all levels, including tenants, legal representatives, and internal stakeholders.

You will have a solid understanding of basic accounting principles, along with the ability to interpret and process data accurately with a high level of attention to detail. Strong organisational skills are essential, with the ability to manage multiple priorities, stay focused, and meet deadlines. Proficiency in Microsoft Office applications, particularly Word, Excel, and Outlook, is also required.
