The role
Due to a recent promotion, we are currently seeking the services of a Personal Assistant to provide administrative support to two senior managers with day to day operations and provide limited support to both wider teams on a 6 month fixed-term contract basis.
This varied role includes inbox and diary management, travel bookings, expense processing, invoice & file management; coordination of project budgets, formatting of reports and presentations, dealing with key internal and external stakeholders as well as general office administration.
The Personal Assistant will be an approachable and polished individual who is highly organised and can multi-task. They must have a strong sense of team ethics, discretion, an eye for detail, be flexible to change and have the ability to work autonomously and cohesively as part of a team.
What you will be doing
- Efficiently managing multiple diaries and conflicting requests whilst maintaining accuracy and capturing requirements for meetings, conferences and travel plans and ensure these are fulfilled. As well as, managing arrangements for all meetings including venue selection, attendance, room set-up, AV requirements and catering and travel requirements for the team, if required.
- Formatting of presentations and documents in accordance with GPT style guidelines. This includes co-ordinating content from various internal contributors for numerous documents such as investor and strategy presentations as well as business plans and board papers. You will be also required to assist with all aspects of Results reporting relating to the business units you are supporting
- Coordination of events, such as an investor tour of Highpoint Shopping Centre this year.
- Liaising with internal stakeholders and travel consultancy to ensure efficient coordination of routes, connections and times in accordance with GPT Travel Policy.
- Raising purchase orders and invoices, ensuring statements are processed correctly and efficiently each month and Assist administratively with management of project costs.
- Managing a logical and efficient filing system for documents to ensure information is stored appropriately and easily accessible to relevant staff.
What makes you stand out
You will need to have had several years’ experience as a Personal Assistant or in an administration focused role, preferably within professional services environment, coupled with excellent communications skills in both written and verbal form.
Your ability to effectively work autonomously, take ownership of and have the ability to prioritise multiple tasks and be able to liaise with senior stakeholders.
You will have sound skills SAP and SharePoint and event software as well as proficiency in the Microsoft Office suite.
